At NeuroCoder Pro ("we", "our", "us"), your privacy and the security of your patient health information (PHI) are our highest priorities. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and AI coding platform.

2. Zero Data Retention Policy (Core Principle)

We do not store your operative notes.

NeuroCoder Pro operates on a strict zero-retention policy for Protected Health Information (PHI). When you submit an operative note to our AI pipeline:

• The text is immediately de-identified by stripping direct patient identifiers before entering the LLM pipeline.
• Once the AI model completes processing and returns the CPT/ICD-10 codes and rationale, the original operative note is permanently dropped from memory.
• We only retain the generated billing codes, evidence snippets, and the UUID of the processing run in our ledger for your dashboard history.

3. Data We Collect

In order to provide our service, we collect the following limited types of data:

• Account Information: Name, professional email address, organization name, and billing details (processed securely via Stripe).
• Usage Data: System telemetry including IP addresses, login timestamps, and API endpoint usage rates to ensure security and prevent abuse.
• Inference Outputs: The final billing codes and generated clinical rationale snippets.

4. Security & Privacy Safeguards

We apply administrative, physical, and technical safeguards informed by healthcare industry standards, including those outlined in HIPAA. No Protected Health Information (PHI) is stored after processing. All data in transit is encrypted via TLS 1.3, and all infrastructure is hosted on secure cloud architectures. Business Associate Agreements (BAAs) are available for Enterprise/Scale tier clients upon request.
